Privacy policy

This page explains how Reasonable Records uses personal information when you browse the website, contact us or place an order.

Information we may collect

Depending on how you use the site, we may receive information such as your name, email address, telephone number, billing or delivery address, order details and correspondence with us. Payment information may be handled directly by the payment provider rather than stored by Reasonable Records.

How we use it

We use personal information where necessary to process and deliver orders, take payment, provide customer service, handle returns or disputes, maintain business and accounting records, prevent misuse or fraud, comply with legal obligations, and operate the website.

New arrivals email subscriptions

If you subscribe, we store your email address, selected delivery frequency, confirmation status, signup date and email delivery history. We use this information only to send the new-arrivals updates you request, based on your consent. You must confirm your email address before receiving updates. Every update includes a link to change your frequency or unsubscribe. You can withdraw consent at any time; we may retain limited suppression and delivery records to honour opt-outs and prevent repeat sending.

Wish lists, saved searches and record alerts

If you use My Wish List or My Searches, we collect your email address and store the specific records you save, your search terms, optional media-grade filters and whether alerts are enabled. We use a one-time email sign-in link to verify access; no account password is required. When you select a record or search before signing in, we temporarily keep that choice in your session so it can be saved after you confirm your email.

Saved-search alerts may be sent when newly listed records match your search. We keep a record of alerts sent to avoid repeated notifications. You can switch off or delete individual saved searches from My Searches. Saving a record to your wish list does not reserve it or automatically subscribe you to general new-arrival emails.

Wish list price-drop notifications

When you save a record to your wish list, we may email you if its listed price decreases while it remains available. We store the last observed price and a history of price-drop notifications sent to avoid repeat emails. Remove the record from your wish list to stop future alerts for that record. These notifications are separate from general new-arrival emails.

Recently viewed records and related recommendations

We use your website session to remember recently viewed records so we can show them to you again. Related records are suggested using information about the records, such as the artist or label, rather than an advertising profile. Recently viewed information may be cleared by ending or clearing your browser session.

Email choices

General new-arrival subscriptions and saved-search alerts are separate. You can unsubscribe from general updates using the link in those emails, and manage saved-search notifications through My Searches. Transactional sign-in and order emails may still be sent when needed to provide the service.

Who information is shared with

We only share information where reasonably necessary, for example with payment providers, delivery companies, website or hosting providers, professional advisers, or authorities where the law requires it. We do not sell customer personal information.

How long we keep information

Information is kept only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, tax, accounting, fraud-prevention or dispute-resolution requirements.

Cookies and sessions

The website may use essential cookies or similar session storage needed for features such as the basket, checkout and administration security. Essential storage is used to make the website function. If non-essential analytics, advertising or tracking technologies are introduced, this policy and any required consent controls should be updated before they are enabled.

Your rights

UK data protection law may give you rights over your personal information, including rights to access it, correct inaccurate information, request deletion or restriction in appropriate circumstances, object to certain processing, and receive certain information in a portable form. These rights are subject to legal conditions and exemptions.

Questions or requests

To ask about your personal information or exercise a data protection right, use the contact details on our Contact page. You also have the right to complain to the UK Information Commissioner's Office if you believe your information has been handled unlawfully.
